What It Really Takes to Book a Sales Meeting in 2026

Most leads never become meetings. Follow-up is too slow, or stops too soon. Here's what the research says, and what it means for your pipeline.

    The persistence problem

    Finding 1

Meetings come from attempt three, four, and five. Most teams stop at one.

Cognism analyzed 204,000+ cold calls: it takes three attempts on average to reach a lead, and 98% of conversations happen by the fifth call. RAIN Group's research with 489 sellers and 488 buyers found it takes an average of 8 touches to book a first meeting with a new prospect; top performers do it in 5. HubSpot's sales research adds that 82% of buyers accept meetings with sellers who reach out proactively. Yet 42% of sales teams never make a second or third attempt (Zapier, 2026).

The meetings are there. Most teams just stop following up too soon.

    The speed problem

    Finding 2

Buyers move on while leads sit in the queue.

Blazeo's 2026 study of 573 service businesses: 74% didn't respond to new leads within five minutes. Of those taking over an hour, 81% said they were losing leads to faster competitors.

Speed decides who gets the meeting.

    The capacity problem

    Finding 3

One human SDR can only do so much.

The Bridge Group puts the median near 10 held meetings per SDR per month, at $76,000 to $97,000 a year in on-target earnings. That's roughly $630 to $810 per held meeting in salary alone, before benefits, tools, and ramp time.

Follow-up gets cheaper when it doesn't depend on a rep's hours.

Your warmest leads are already in your CRM

    What it means

A cold call to a stranger works 2.7% of the time. Your dormant leads already raised their hand.

The contacts who already asked about your business are the most valuable list you own. Most never got the fast, persistent follow-up the research says it takes.
